Maya Productions Privacy Policy
We are collecting your data to keep you informed about the projects, productions and opportunities that we have available and the work we are doing.
We want to tell you what information we will be keeping about you, why we keep this information, how long we will keep it and what we will use it for – with your consent.
Your information
The information we collect is what you choose to provide to us. This can include:
– Your name
– Your address
– Your telephone number
– Your email address
– Your Spotlight profile (or similar)
– Social media handles;
– Your feedback and comments (Annonymized unless specific permission is given e.g video interview)
– Any additional information you choose to provide
This information is only taken when you give us your consent to use it. As a project funded charity this information is often needed by our funders and to recognise and monitor if we are achieving our charitable aims. The information is collected usually via Mailchimp or via a form at a Fio event.
We may collect sensitive personal information about you including information about your racial or ethnic origin and offences or alleged offences committed by you. We generally only collect this kind of information on a voluntary basis and after having obtained your explicit consent to do so, or where it is necessary to do so to comply with legal requirements (including for employment law purposes and to carry out our obligations arising from any contracts entered into between you and us).
We use appropriate technical, organisational and administrative security measures to protect any information we hold from loss, misuse, unauthorised access, disclosure, alteration and destruction. We will ensure that any third parties we use for processing your personal information do the same. Unfortunately, no company or service can guarantee complete security. Unauthorised entry or use, hardware or software failure, and other factors may compromise the security of user information at any time.
We may transfer data that we collect from you to locations outside the European Economic Area for processing and storing. By submitting your personal data, you agree to this transfer, storing or processing. We will take all reasonable steps to ensure that your data is treated securely and in agreement with this Privacy Policy.
We do not keep your information for longer than necessary .
How do you use my information?
Maya Productions complies with its obligations under the General Data Protection Regulation (GDPR) by keeping your personal data up to date, by storing and destroying it securely, by not collecting or retaining excessive amounts of data; by protecting personal data from loss, misuse, unauthorised access and disclosure and by ensuring appropriate technical measures are in place to protect personal data.
Your Data
– Stored on a secure database hosted by mail-chimp.
- Email contacts are stored on a password protected maya productions email account.
- An export is also kept on a secure server only accessible by Maya Productions Artistic Director.
– Keeping your personal data for no longer than reasonably necessary and only retaining your data for the period that you are subscribed.
– When you unsubscribe your personal data is removed from our database.
Who sees my information?
If you have provided feedback at an event, this response may be reproduced online or in funding applications. However, these responses will usually be anonymised unless specific permission has been granted.
Maya Productions will not pass on your personal data to third parties without first obtaining your consent.
Only those employed by Maya Production in management and admin roles will have access to your Data.
When do we contact you?
– When we engage people in conversations we usually do this via social media, email or phone. Also via Mailchimp.
What if something isn’t covered here?
If we wish to use your personal data for a new purpose, not covered by this Privacy Notice, then we will have a conversation and gain consent. We would never want to use your data without consent.
Can I change my mind?
You have the right to change your mind at any time about the consent you can contact us and let us know you no longer wish for us to hold your data.
You also have the right to report concerns or complain about our handling of your data to the Information Commissioner’s Office. To do this, contact the Information Commissioner’s Office which oversees data protection law – www.ico.org.uk/concerns.
